02 Information We Collect
When you submit an enquiry, request professional information or apply for an international partnership, we may collect:
- Your name, business email address and telephone or WhatsApp number
- Country, city, company or clinic name and position
- Company website or professional profile
- Business type, professional category, relationship with us and referrer
- Product of interest, intended use and information requested
- Proposed territory, relevant experience, professional or distribution network and regulatory readiness
- Team capabilities, market-entry vision, three-year plan, planned exhibitions or activities and support requested
- Submission date, request identifier, review status and notification-delivery status
- Technical information such as IP address, browser or device type, access time, requested pages, error data and security events may be processed automatically by our website infrastructure for operation and security.
This website is intended for companies and professionals. Please do not submit patient information, medical records, health information or other sensitive personal data.

We do not use submitted contact information for newsletters or other direct marketing without separate consent. We do not accept or reject an application solely through automated decision-making that produces legal or similarly significant effects.
04 Legal Grounds for International Applicants
Where the laws of the EEA, United Kingdom or another jurisdiction apply, we process personal information as necessary to take steps requested before entering into a contract, for our legitimate interests in responding to business enquiries and responsibly assessing prospective partners, to comply with legal obligations, or on the basis of consent where required.
05 Service Providers and Disclosure
Information submitted through a form is stored in a protected database used by YOTSUBA JAPAN. If notification-email delivery is enabled, a notification copy may also be sent to the company email address stated above through a contracted transactional-email provider.
We currently use Cloudflare for website hosting and database functions. Cloudflare, and any transactional-email provider enabled for the website, may process information only to the extent necessary to supply their services. We select and supervise service providers as required by applicable law.
We may disclose information to professional advisers subject to confidentiality obligations or to competent public authorities where necessary to comply with law or protect legal rights. We do not sell, rent or trade personal information. Except where permitted or required by law, we do not disclose it to another party beyond the stated purposes without your consent.
06 International Processing and Transfers
Information submitted from outside Japan will be processed in Japan and may also be processed or stored in countries or regions where Cloudflare or other contracted providers operate. We apply contractual, organisational and other appropriate safeguards and supervise service providers in accordance with applicable law.
07 Retention
We retain personal information for as long as reasonably necessary to review and respond to an enquiry or application, manage related communications and administer a potential or existing business relationship. After that period, information is retained only where necessary for legal obligations, contractual records or dispute resolution. When it is no longer required, it is securely deleted or anonymised without undue delay.
08 Security
We maintain necessary and appropriate organisational, personnel, physical and technical safeguards. These include internal handling procedures, restricted access, credential and access-control management, protection of data in transit, supervision of personnel and service providers, and incident-response procedures. No method of internet transmission or electronic storage can be guaranteed to be completely secure.

Subject to applicable law, you may request information about our purposes of processing, access to retained personal data or records of third-party disclosure, correction, completion, deletion, suspension of use, erasure or cessation of third-party disclosure.

This website does not currently use advertising cookies, advertising pixels or behavioural analytics tools. Technical processing necessary to display and secure the website, and access logs maintained by infrastructure providers, may still apply. If we introduce non-essential cookies or analytics services in the future, we will update this policy and obtain consent where required by applicable law.
11 Changes to This Policy
We may update this policy following changes to law, our services or our data-handling practices. Material changes will be published on this website together with a revised update date. This Privacy Policy is made available in English and Japanese. The Japanese version is provided for convenience only. In the event of any conflict, inconsistency or discrepancy between the English and Japanese versions, the English version shall prevail to the extent permitted by applicable law.
